JOB DESCRIPTION:  BOX OFFICE ASSISTANT

Reports to the Office Manager

The primary responsibility of this position is to provide patrons with a positive experience while purchasing their tickets to attend an event at the Rochester Civic Theatre (RCT). This experience is created by aiding patrons in accurately processing their request in a professional, friendly and efficient manner, while maintaining cash handling and data entry accuracy and responsibility.  This position is expected to work cohesively with all employees and volunteers of RCT in maintaining the highest level of customer service. Experience working with and organizing volunteer groups is desired. In addition this position will be required to fulfill administrative functions, prepare reports, maintain inventory and other functions as outlined below. Duties include but are not limited to:

 

1. Perform Box Office duties with a Strong Customer Service Focus

Provide all patrons with a consistent positive impression of RCT by offering superior and individualized service.  

Communicate theatre specific information to non theatre audiences in a courteous and helpful manner.

Respond to inquiries in a timely, courteous and accurate manner, referring appropriately where necessary.

Accurately operate RCT ticketing system including processing memberships, selling tickets and maintaining sound practices and processes.

 

2. Executes Administrative tasks

Schedule volunteer house manager & usher volunteer pool per show, provide clear direction, feedback and follow up.

Arrange preview night tickets, allocate and distribute to cast, crew & neighboring homes.

Input patron, member, volunteer and employee information into RCT Data base software program.

Prepare reports on annual memberships, donations, volunteers, ticketing, special offers etc.

Maintain inventory levels of concessions and general office supplies, by completing weekly ordering and receiving procedures.

3. Supports and cooperates with all theatre activities as a whole

Support all policies and procedures established by the Board of Directors.

Support all guidelines established by the Executive Director & Office Manager.

Actively participate in furthering RCT’s image, reputation and presence in the community.

Maintain positive and enthusiastic relationships with volunteers.

Attend Staff and Departmental Meetings as coverage allows.

Any other duties as assigned.

Knowledge and Skills

Intermediate level proficiency in MS Word, Excel & Outlook.

Intermediate level computer proficiency required in order to operate in house software programs used daily and to complete administrative aspects of the role.

Maintain presentable clean and safe work area, complying with procedures, rules & regulations.

Hours of Work

Scheduled hours include weekdays, weekends and evening hours. Monday – Friday 8:30am – 5:30pm or 11:30am – 5:30pm; Show weekends: Saturday 2:00pm – 8:30pm, Sunday 12:00pm – 2:30pm, RCT Live Events Various Dates: 6:30pm – 8:30pm.
